Square 2 Marketing's Administrative Assistant handles the day-to-day administrative activities required to support the entire company. This would include supporting Sales, Client Services, Accounting, and the Executive team.
Responsibilities
Here's a summary of how you can expect to spend your day as our Administrative Assistant:
- Report to President to handle day-to-day administrative tasks
- Prep the office for client visits, greet clients and guests as they visit our office
- Answer phones and process faxes
- Handle mail, UPS, and the creation of client/prospect materials
- Deliver "remarkable" service in every aspect of our business
- Supports the development and distribution of marketing and sales materials
- Develop fluff packages and collateral for sales meetings, presentation meetings and workshops
- Track requests and mailings in SalesTracker and prepare company sales updates for weekly meetings and monthly company meetings
- Handle all marketing event details (e.g. workshops and speaking engagements).
- Prepare event agenda, invitations, registration forms and payments/refunds tracking for customer events
- Provide administrative and marketing support to MCs when working with clients on new projects
- Generate form letters for standard communication to prospective clients and referral sources, including thank you letters and referral gifts
- Prepare agendas and follow up notes for sales and marketing weekly meetings
- Schedules and confirms appointments and makes travel arrangements for sales opportunities
- Phone contacts to augment the efforts of the sales staff as needed
- Handles all aspects of our book distribution program
Prerequisites
- Excellent telephone skills and computer knowledge with proficiency in database management and word processing
- Demonstrated proficiency composing written communication
- High energy level, comfortable performing multifaceted projects in conjunction with day-to-day activities.
- Resourceful, well organized, highly dependable, efficient and detail-oriented
- At least 2 to 4 years of experience working in with customer service or sales support team
- A basic understanding of business and marketing programs would be beneficial
- Excellent communication skills are a must
- Ability to work in cross-functional teams, meet deadlines, and exceed expectations
- Very strong proficiency using Microsoft Office
